Told Together Privacy Policy

1. Summary
Told Together helps families preserve memories by turning recorded conversations — usually an interview between two people — into written stories, with the help of artificial intelligence. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
This policy applies to the Told Together website, web app, and related services (the "Service"), which are operated by Told Together, LLC ("Told Together," "we," "us," or "our"). The Service is offered to residents of the United States and is not directed at residents of other countries. It is intended for users age 18 and older.
The short version:
- We collect what you give us (account info, recordings, transcripts, photos, and details about the person you interview) and technical information about how you use the Service.
- We use third-party AI providers to transcribe recordings and write stories. We do not allow those providers to train on your content.
- We never sell your personal information and we do not use your stories for advertising or model training.
- You own your recordings, transcripts, and stories. You can export or delete them at any time.
- A story is private to your account until you create a share link for it. Anyone with the link can read it.
- We keep your content as long as your account is active. If you close your account, we delete it within 30 days.

2. Information we collect
Information you give us
- Account information: name, email address, password (stored hashed by our sign-in provider), and optional profile details.
- About the person you interview: their name, your relationship to them, their approximate age, the language they are most comfortable in, and a photo, if you choose to add one.
- Recordings and stories: audio you record with the Service (on your own or during a call), recordings you upload, and text you type; the resulting transcripts and AI-generated stories; and any photos you upload. Video from a live call is used only to extract the audio and is not kept. A video file you upload is kept as uploaded, alongside the audio we extract from it.
- Story details: titles, questions, dates, and details you add to a story.
- Call invitations: the email address of the person you invite to a call, and when they joined and acknowledged the recording notice.
- Onboarding answers: what you tell us when you sign up about why you're here, what you've tried before, how you'd like to share stories, and how you heard about us.
- Feedback: your thumbs-up or thumbs-down on a story and any comment you add.
- Communications: messages you send us through the contact form or by email, whether or not you have an account.
- Payment information (when paid plans launch): billing details are collected and stored by our payment processor. We receive a limited token and summary (last four digits, expiration, billing country). We do not store full card numbers.
Information collected automatically
- Device and usage data: IP address, browser type, pages visited, features used, timestamps, and errors. Before you create an account this is tied to an anonymous identifier stored in your browser, together with any invite code or campaign parameters in the link you arrived from; once you sign in, it is tied to your account.
- Cookies and similar technologies: used to keep you signed in, remember preferences, and measure product usage. See section 9.
Information from others
- If you sign in with a third-party account (for example, Google), we receive the basic profile fields that service shares with us.
3. How we use information
We use your information to:
- Deliver the Service — host your recordings, transcribe them, write stories, and make everything available to you.
- Communicate with you about your account, updates, and support. We may also send occasional product news by email; every such email includes an unsubscribe link, and account and service emails are not affected.
- Protect the Service and our users from fraud, abuse, and security incidents.
- Comply with legal obligations.
- Improve the Service — through product analytics tied to your account, and by reviewing specific stories only when you have chosen to share them with us.
We do not use your recordings, transcripts, or stories to train AI models.
4. How we process your content
Call infrastructure. Live interviews over video are conducted through a third-party video calling service (currently Daily.co), which carries the audio and video stream and creates the initial recording on its servers. We transfer that recording to our own storage for processing. The call provider's own privacy terms govern its processing and retention of the call stream and recording; see our Subprocessor List for the current provider.
Transcription and story generation. We use third-party AI providers to transcribe the recording and write a story from it. When your content is sent to these providers:
- We use enterprise or API tiers, which by default do not train on customer inputs.
- We send only what's needed to perform the task. Providers may keep inputs for a short period (typically up to 30 days) to monitor for abuse, and then delete them.
- We do not allow any provider to use your content for their own purposes.

5. Sharing your information
We share information only in these situations:
- Service providers (subprocessors). We use vendors to host infrastructure, send email, process payments, analyze product usage, and provide AI transcription and story generation. They process your data under contract and on our instructions. A current list is published at Subprocessor List.
- Share links. A story is private to your account until you create a share link for it. Anyone who has the link can read the story and see the name and photo of the person it is about, without an account. If you turn on audio sharing for that story, they can also play and download the recording. You can turn a share link off at any time.
- People you invite to a call. When you schedule an interview, we email your invitee your name, the topic you chose, and a link to join.
- Legal and safety reasons. We may disclose information if required by law, in response to valid legal process, to protect people's safety, or to protect our rights.
- Business transfers. If Told Together is involved in a merger, acquisition, or asset sale, information may transfer to the new owner, subject to this policy.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
6. How long we keep your information
We keep your account and content as long as your account is active. Our intent is to help you preserve these memories indefinitely.
If you delete a story, we remove it and its recording from our active systems promptly (normally right away) and from backups within 90 days.
If you close your account, we delete your content within 30 days of closure (and from backups within 90 days). We may retain a limited amount of information after account closure if required by law — for example, transaction records and a record of the subscription terms you agreed to at purchase, which we keep for as long as the law requires (currently three years).
7. Your rights and choices
You can at any time:
- Access your information by signing in.
- Export your recordings, transcripts, and stories from the editor page for each story.
- Correct inaccurate information in your profile or content.
- Delete specific stories or your entire account.
California residents have additional rights under the California Consumer Privacy Act (CCPA/CPRA), including the right to know, delete, correct, and limit the use of sensitive personal information, and the right to non-discrimination for exercising these rights. As noted above, we do not sell personal information or share it for cross-context behavioral advertising, so a Global Privacy Control signal from your browser requires no change to how we handle your data. 8. Recording consent and third parties
Told Together is designed for recorded conversations. Some US states (including California, Florida, Illinois, Massachusetts, Pennsylvania, and Washington) require that all participants in a recorded conversation consent to being recorded.
You are responsible for obtaining consent from every participant in any interview you record using the Service, and for having permission from everyone in a recording you upload. By using the Service, you represent that every participant has consented to being recorded, transcribed, and having a story written from the conversation.
Interviews often include stories about other people who are not in the conversation. You are responsible for ensuring that content you record and share does not violate other people's privacy or rights. If someone mentioned in your content asks for it to be removed, contact us at privacy@toldtogether.com.
If you were recorded by a Told Together user. You don't need an account to take part in an interview, and you may not have one. Told Together holds what the account holder recorded or uploaded: your voice, a transcript, the written story, and possibly your name, photo, and — if you were invited to a call — your email address. The account holder controls that content and can share it by link. If you want to know what we hold about you, or want it removed, email privacy@toldtogether.com. We may need to verify who you are. We will remove content where the law requires it, and otherwise work with the account holder to resolve your request.
9. Cookies and analytics
We use our sign-in provider's cookies to keep you signed in, and a product-analytics cookie that identifies your browser so we can understand how the Service is used (pages visited, features used). You can control cookies through your browser settings. We do not use advertising cookies or third-party advertising trackers today; if we add advertising measurement tools in the future, we will update this section first.
10. Security
We use reasonable technical and organizational safeguards to protect your information, including encryption in transit and at rest, access controls, and monitoring for unauthorized access. No system is perfectly secure; if we learn of a data breach affecting your information, we will notify you and applicable authorities in accordance with applicable law.
11. Children
Told Together is intended for users age 18 and older. We do not knowingly collect personal information from anyone under 18 as an account holder. If you believe a minor has created an account, email privacy@toldtogether.com and we will delete the account.
Interview subjects (the person being interviewed) may be any age. If an interview involves a minor, the account holder is responsible for obtaining consent from a parent or legal guardian before recording.
12. International users
The Service is offered to residents of the United States and is not directed at residents of other countries. The Service is hosted in the United States. If you are outside the US, please do not create an account.
13. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will let account holders know by email or by a notice in the Service. The "Effective date" at the top indicates when the current version took effect.
